3. Purpose of personal data usage
Customer Register (B2B and B2C): the purpose of Särkänniemi’s customer register is to maintain and manage customer relations. The information can be used for Särkänniemi’s operational development by conducting customer surveys or research as well as for maintaining and managing customer relations.
E-commerce Customer Register: delivering purchases from Särkänniemi’s online store to the customer.
Season Card Register: the register is used to maintain the data of Season Card holders, to give information to Season Card holders and to deliver benefits and services available with the Season Card.
First Aid Register: Särkänniemi First Aid records personal information of clients or employees when an insurance claim is made relating to the incident. The information is used for handling the insurance claim.
Surveillance Camera Register: the surveillance camera system covers area managed by Tampereen Särkänniemi Ltd. The surveillance camera system ensures the safety of customers and staff of Tampereen Särkänniemi Ltd. Its purpose is also to protect property, prevent crime and help to investigate crimes that have already taken place.
On-ride Camera Register: the register stores images taken by the camera system. The customer can buy their photo and download an electronic photo for their own use.
Lottery and Competition Register: competitions and lotteries are arranged e.g. in social media, in several events and together with surveys. Contact information is collected from participants for announcing the results of the competition/lottery and to carry out the distribution of prizes.
Research Register: the purpose of customer surveys and research is to collect information on customer behavior and opinions in order to develop Särkänniemi’s services. Customer surveys do not generate personally identifiable data, but the information is processed anonymously. Any personal information provided for the purpose of prize draw will be processed in accordance with the Lottery and Competition Register’s privacy statement and they are never linked to the analysis based on the survey.
Reservation Register: to enable daily forecasting, monitoring and controlling the number of visitors to the attractions, customers make a daily reservation for their visit.
Direct Marketing Register: marketing, advertising, contacting and informing customers.
Form Register: implementing customer feedback and restaurant table reservations, and forwarding information from business sales contact requests to customer feedback, table reservation systems and business sales.
4. The data content of the register
The customer registers contain a maximum of the following data:
Customer Register (B2B and B2C): organisation, first name, last name, phone number, e-mail address, delivery and billing address, price group/customer segment (e.g. school, nursery school or association), services and products ordered by the customer with advanced content, delivery method of the products and services.
E-commerce Customer Register: order date, the status of the order, site information, billing address, delivery address, payment information, ordered products, customer account information (in case of registered customer), first name, last name, e-mail address, phone number.
Season Card Register: the personal data of the Season Card holder (first name, last name, phone number, e-mail address, date and year of birth) and a photo as well as personal information of a guardian in case the Season Card holder is under 18 years of age (first name, last name, phone number, e-mail address).
First Aid Register: first name, last name, e-mail address, phone number and information about the incident.
Surveillance Camera Register: the recorded image material captured by cameras in the premises covered by Särkänniemi Ltd.’s camera surveillance.
On-ride Camera Register: image, date and time.
Lottery and Competition Register: First name, last name, e-mail address, phone number.
Research Register: First name, last name, postal code, e-mail address.
Reservation Register: First name, last name, postal code, e-mail address, the reserved date of the visit and the size of the group.
Form Register: first name, last name, e-mail address, phone number, feedback or information about the reservation (date, time and additional information given by the customer, for example the purpose of visit or special diet).
Direct Marketing Register: first name, last name, e-mail address, phone number.
5. Processing criteria
The processing of registers is based on the legitimate interest of the controller (customer relationship), the contract (ordering and purchasing products) and consent (information provided or accepted by the customer).
6. Regular sources of information
The source of information is the information provided by the customer when registering as a customer, when ordering products/services, when making a reservation, when booking a table or when giving customer feedback, or information provided orally by the customer when purchasing services and products and when providing information at the first aid for an insurance claim. Image and video material provided by the on-ride cameras and surveillance camera system. Competition and lottery forms (paper/electronic) and social media accounts of lottery participants and additional information provided by the participant.
7. Regular data transfers and data transfers outside of EU or the European Economic Area (EEA)
As a general rule, the data in Särkänniemi’s customer registers is not trusted outside the EU or the EAA. Some of the customer register systems are located in the service provider’s cloud service.
On-ride Camera Register: when a customer purchases an image, the image is transferred to the system vendor’s servers (https://photoathome.com/privacy-policy/). Authorities have a statutory right of access to information.
8. Register maintenance systems and security principles
Manual material: manual material is created in only four registers. 1) Season Card Register: the material is disposed of securely within one day. 2) E-commerce Register: the printed order confirmation is attached to the delivery of the products (products ordered by mail) and the order confirmation is also submitted to the financial administration processing. Order confirmations are kept in a locked place and the access is monitored by access control. 3) On-ride Camera Register: so called waste images are stored in a controlled and locked place until they are securely disposed. 4) Competition and Lottery Register: paper lottery forms are archived in a lockable cabinet located in a controlled area.
Electronically stored material: the data is stored in the data system used for the respective register protected by usernames and passwords and can only be accessed by authorized people. Data systems and network connections are secured, data is backed up, usage and usability of the systems are monitored, and a log is generated about the use of the systems.
9. Right of access and its implementation
In accordance with section 26 of the Personal Data Act, the data subject has the right to check what information concerning them has been stored in the customer register. Requests shall be addressed to the person in charge of the register. The controller may, on its own initiative or at the request of the data subject, delete, correct or supplement obsolete, incorrect, unnecessary or incomplete information in the register.
10. Data correction and implementation
The data subject has the right to request rectification, removal or restriction of their data or to oppose processing or transferring the data from one system to another. The data subject has the right to request the correction of incorrect information. Requests shall be addressed to the person in charge of the register.
11. Disposing data
Customer Register (B2C and B2B): the personal information of the customer is kept in the business sales register for four years since the last contact, booking or purchase (B2B). In case of online service, the personal information is kept for two years.
E-commerce Customer Register: the data is kept for one year from making the purchase or for the amount of time required by the Accounting Act.
Season Card Register: the data is kept for two years since the end of validation of Season Card and after this the data is disposed securely.
First Aid Register: the data is disposed according to the guidelines of the insurance company.
Surveillance Camera Register: the data is kept depending on the capacity of the recorder from two to three weeks. The data is destroyed by storing new data on it.
On-ride Camera Register: manual material is disposed securely after the end of the season. In case of electronic material, the unprinted images are deleted from the system automatically within 13 days. Printed images are deleted from the system after the end of the season.
Competition and Lottery Register: Särkänniemi keeps the personal data of the competition and lottery participants for a maximum of 30 days. The manual and electronic material will be destroyed once the price has been submitted.
Research Register: the manual and electronic lottery material is disposed after the price has been delivered.
Reservation Register: as a general rule, the personal data is anonymized at the end of the calendar year at the latest so that the anonymization related to events held near the end of the year is done maximum of two months after the end of the event. The data of the persons who have granted the direct marketing authorization shall be transferred to the direct marketing register at the end of the calendar year before the personal information is anonymized.
Form Register: the personal data is kept in the register for as long as the data subject has given their consent. If the consent is revoked, we will remove the person’s data from the register.
